Camcor Advisory Pty Ltd, ACN 637 292 490, ABN 17 637 292 490, (“Camcor”, “we”, “us”, “our”) complies with the Australian Privacy Principles (APPs) as set out in the Privacy Act 1988 (Cth). This Policy outlines how we collect, hold, use, and disclose personal information in the course of providing our services and operating our website.

1. Definitions

Personal Information means information or an opinion about an identified individual, or about an individual who is reasonably identifiable.

2. Collection of Personal Information & Purposes

We collect personal information from clients, prospects, employees, contractors, suppliers, and other third parties to perform our business functions, deliver services, manage operations, and meet legal obligations.

We primarily collect information directly from you (e.g. via forms, email, telephone). At times, we may receive information from third parties (e.g. other advisors, public databases, referees).

Examples of information collected include:

  • Name, contact details, date of birth
  • ABN, TFN (if required), business structure, financial records
  • Information relating to companies, trusts, partnerships, superannuation (including SMSFs), personal finances, and investments
  • Banking or transaction details relevant to our services

  • Identity verification documents (e.g. driver’s licence, passport, proof of address) where required under Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF) laws

If we cannot collect such information, we may be unable to provide certain services to you.

3. Use & Disclosure

We use personal information to:

  • Provide accounting, tax, SMSF, business advisory, and corporate secretarial services
  • Manage client relationships, billing, and communications
  • Comply with our obligations under law, regulation, or professional standards
  • Conduct research, planning, marketing, and internal administration
  • Send newsletters, alerts, or promotional content (where consent is provided)

We may disclose personal information to:

  • External service providers (IT providers, data hosting, auditors, software providers) under confidentiality terms
  • Regulatory authorities where required (ATO, ASIC, TPB)
  • Legal and professional advisors where authorised by you or under your instruction
  • Parties involved in a business restructure, merger, or sale only where we are acting under your authority or instruction, or where required by law

We will not disclose personal information to third parties for their marketing purposes.

4. AML/CTF Obligations

We may be required under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth) (AML/CTF Act) to collect, verify, and retain certain identification and financial information about our clients. This may include identity documents, beneficial ownership details, and information regarding the source of funds.

Such information is collected solely to meet our compliance obligations and will not be used for any other purpose. It will be handled in accordance with this Privacy Policy and applicable laws.

5. Overseas Disclosures

From time to time, we may disclose personal information to recipients located outside Australia (e.g. cloud service providers). Any such disclosure will be made only if:

  • You consent; or
  • The recipient is required to abide by privacy laws similar to the APPs; or
  • The disclosure is otherwise permitted by law.

Where practicable, we will notify you when such disclosures occur.

6. Data Quality

We take reasonable steps to ensure the personal information we collect is accurate, complete, and up to date. If you believe information we hold is incorrect or incomplete, please request correction.

7. Security & Storage

We hold personal information in both physical and electronic form, protected by technical, physical, and procedural safeguards, such as:

  • Restricted access controls
  • Encryption and virus protection
  • Secure offsite storage for backups
  • Contracts ensuring third parties maintain security standards

When information is no longer needed, it will be destroyed or de-identified unless retention is required by law (for example under tax, statutory, or compliance obligations).

8. Access, Correction & Deletion

You may request access to, or correction of, your personal information at any time by contacting us. We may charge a fee to cover the costs of retrieval and copying.

If the personal information we hold about you is not accurate, complete, or up-to-date, we will take reasonable steps to correct the information.

We will always provide reasons for denial of access or refusal to correct personal information.

9. Sensitive Information

We do not collect sensitive information (such as race, religion, health, criminal records) unless:

  • It is essential for providing our services; and
  • You provide explicit consent; or
  • It is required or permitted under law.

10. Destruction / Retention

We may de-identify or securely destroy personal information when:

  • It is no longer required for the purposes for which it was collected; or
  • It is no longer legally required to be retained.

Generally, client records are kept for seven years after completion of the relevant engagement.

11. Direct Marketing

We may send communications (e.g. newsletters, updates, invitations) if you have opted in or where the content directly relates to our services with you. You may opt out of marketing communications at any time.

We will not provide your information to third parties for direct marketing.

12. Cookies & Website Analytics

Our website uses cookies and analytics tools to improve user experience and track performance. You can disable cookies in your browser settings, although some site functions may be limited.

13. Complaints & Breach Notification

If you believe we have breached your privacy, please contact us to lodge a complaint. We will treat your complaint confidentially, investigate and aim to resolve it within a reasonable period.

If your complaint is not handled satisfactorily, you may refer your complaint to the Office of the Australian Information Commissioner (www.oaic.gov.au).
